Challenge

This anonymous client is a global precision manufacturing operation based in Sri Lanka’s export processing zone. Its 900+ employees work across multiple daily production shifts, generating high volumes of HR transactions across attendance, shift changes, payroll and employee requests. As a predominantly factory-based operation, efficient, accessible HR is critical to keeping production running smoothly.

  • Manual, paper-based HR: Leave, salary advances and attendance verification ran on paper forms and spreadsheets, with HR re-keying data into payroll, increasing workload and error risk.
  • Complex payroll consolidation: Payroll required attendance data, employee requests and shift adjustments to be pulled from multiple sources, with heavy validation and cross-department coordination.
  • Limited employee access: Factory-floor employees had limited visibility into attendance records, pay slips and leave balances, and had to go through HR for many routine requests.
  • High transaction volumes: 900+ employees across multiple daily shifts and 24+ working days a month created a continuous flow of attendance, leave, payroll and shift-related transactions.

PeoplesHR Solution

The company built a structured HR digitalization program on PeoplesHR, designed around a predominantly factory-based workforce, with KIOSK terminals on the production floor alongside web and mobile access.

  • Self-service requests: Leave automation, salary advances and festival advances moved onto KIOSK, web and mobile. Employees can now submit requests without visiting HR, while the mobile app gives them access to leave balances, attendance records and request status from anywhere.
  • Paperless payroll and pay slips: Printed pay slip distribution was eliminated, with employees able to view and print their own pay slips. Overtime approvals moved from physical forms to fully trackable digital workflows.
  • Faster, same-day payroll: Salary payments, EPF/ETF contributions, bonuses and advances now run through digital banking integrated with the HRIS. Payroll preparation moved from the 6th or 7th of the month to the 3rd, gaining 4 to 5 working days per cycle.
  • Integrated operations: Sick room, meal request and training systems were connected to the HRIS via API, removing manual data entry, reducing duplicate records and improving operational data flow.

Results

Adoption reached 100% across the workforce, proving that the system became part of everyday operations, not just an HR-led implementation.
